    Applications are invited for appointment as Clerk II (holding the functional title of Executive Assistant) in the School of Computing and Data Science (Ref: 536761)

    The University of Hong Kong (HKU) has established a world-class Teaching and Research Site for the School of Computing and Data Science, CDS (SH) in Zhangjiang Hi-Tech Park, Shanghai. We are seeking an experienced, forward-thinking, and proactive individual to provide comprehensive support in the areas of human resources and general administration to facilitate effective communication and coordination between the School offices in Hong Kong and CDS(SH).

    The Role

    The appointee will play a versatile role in providing clerical and administrative support to the School and CDS (SH). He/She will serve as the first contact point for matters relating to CDS (SH), and act as a key liaison between the Hong Kong and Shanghai offices. Occasional travel to Chinese Mainland and work outside normal office hours may be required. The main responsibilities include, but are not limited to, the following:

    • Assist in the implementation of University and School policies, procedures, and operational guidelines, and promote consistent administrative practices across the two offices;
    • Support onboarding arrangements for new staff and faculty members at CDS (SH), and facilitate their understanding of HKU's culture, policies, and administrative practices;
    • Support recruitment exercises, including interview scheduling, logistics arrangements, and compilation of application materials for review;
    • Facilitate communication and coordination among faculty members, administrative staff, and external stakeholders across the two offices;
    • Assist in the preparation, maintenance, and dissemination of administrative resources, guidelines, forms, and reference materials to support effective operations and knowledge sharing;
    • Provide clerical support in relation to human resources, office administration, and operational matters for CDS (SH); and
    • Perform any other duties as assigned.

    Qualifications and Qualities

    • A recognized Bachelor's degree or above;
    • 2 to 5 years of relevant experience in general office administration, human resources, customer service, or a related field;
    • Detail oriented, multi-tasking and self-motivated with strong sense of responsibility;
    • Strong interpersonal and communication skills, with the ability to work effectively with people from diverse cultural and professional backgrounds;
    • Good IT proficiency, including Microsoft Office applications;
    • Good command of English and Chinese, including Putonghua; and
    • Experience in higher education institutions, multinational organizations, or cross-border operations would be an advantage.

    What We Offer

    The appointments will be made on fixed-term full-time contract for 2 years, to commence as soon as possible with the possibility of renewal subject to satisfactory performance and funding availability. A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of basic salary. Other benefits include annual leave and medical benefits.
