    Job Description:

    Records Manager (at the rank of Administrative Assistant II) in the General Services of the Registry (Ref.: 536392) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, and with the possibility of renewal subject to satisfactory performance)

    Under the General Services of the Registry, the General Records Unit is a team managing the central filing system of the Registry and providing reference services to administrators. The Unit is now looking for a candidate for the position of Records Manager.

    Applicants should possess a Bachelor’s degree with 5 years’ solid experience in archives, records, information management or a related field within a sizable organisation. Experience working in the higher education sector will be considered an advantage. They should have an excellent command of both written and spoken English and Chinese; good organisational, interpersonal, communication and problem-solving skills; good IT knowledge; and the ability to work independently and under pressure to meet tight deadlines. They should also be a good team player with the ability to multi-task and be attentive to details. Solid experience in the development and/or maintenance of document management systems, including the application of Artificial Intelligence technologies to enhance document management workflows and support effective information management, is essential.

    As the Head of the General Records Unit, the appointee will be responsible for the planning and implementation of records management policies and the new document management system of the Registry, and perform other duties as assigned. The appointee will supervise the Unit in providing research support and performing records and archives management duties, include but not limited to file creation, accessioning, record filing, cataloguing, and retrieval. He/She is also expected to oversee the administration of the Unit and assist in overall resources planning of the team.
