Manager/ Assistant Manager (Marketing and Events) (at the rank of Administrative Assistant II/ Executive Officer) in the Knowledge Exchange Office (Ref.: 536923)
The University is looking for an experienced Event Manager to join the Events and Marketing team, which supports the Vice-President and Pro-Vice-Chancellor (Research) in delivering strategic events and engagement activities across the University’s research, innovation, knowledge exchange, technology transfer, and entrepreneurship agenda.
The Role
The appointee will oversee the full event lifecycle — from event planning, project management, design and production to on-site execution — across a broad portfolio of flagship events, including international conferences, exhibitions, high-level ceremonies, seminars, and VIP delegations, and other activities that strengthen institutional visibility, stakeholder engagement, and the University’s wider research impact
Key Responsibilities
- Event Planning & Development: Design and organise engaging university events. Build agendas and programme rundowns tailored to academic researchers, students, government/cultural stakeholders, corporate partners, and the wider public.
- Academic & Thought-Leadership Coordination: Collaborate with faculty, researchers, and external experts to shape panel topics, speaker/guest invitations, and moderator guidance.
- End-to-End Event Management: Own the full event logistics — from concept to vendor contracting, scheduling, run-of-show development, floor planning, and on-site execution.
- Stakeholder Liaison: Manage a smooth and professional communications between internal stakeholders and external partners (government offices, NGOs, industry representatives, sponsors).
- Budgeting & Risk Management: Manage event budgets and tendering procedures. Develop risk assessments and contingency arrangements.
- Vendor & Supplier Management: Select, brief, and oversee external service providers (AV, catering, staging, event agencies, security, event helpers, and production teams) to ensure quality delivery and adherence to university policies and procurement requirements.
- Communications & Documentation: Develop MC scripts, VIP event briefs, and post-event reports.
- Website & Digital Maintenance: Oversee the office's website updates, ensuring all event schedules, marketing content, and post-event summaries are kept accurate, current, and aligned with visual standards.
- Travel Requirements: Travel occasionally for university events or visiting delegations, as required.
- Ad-Hoc Support: Support special projects and other duties as assigned by the Events/Marketing leadership or university management.
Qualifications and Qualities
- Experience: Bachelor’s degree in a relevant field with at least 5 years of end-to-end event management experience, preferably in government, quangos, innovation and technology sector, large-scale corporate, or tertiary education sectors.
- Skills: Strong project management, budgeting, timeline control, and vendor/AV/venue logistics coordination.
- Innovation & Market Trends: Highly innovative with a forward-thinking mindset; proven ability to brainstorm fresh concepts, incorporate the latest market and technology trends, and introduce experiential elements to elevate traditional institutional events.
- Tech Savvy: Proficient in MS Office (advanced PowerPoint), design platforms (e.g., Canva), and Generative AI tools.
- Communication: Excellent communication and diplomacy skills; fluent in English, Cantonese, and Putonghua to liaise with faculty and VIP partners.
- Attributes: Detail-oriented, proactive problem-solver, with the flexibility to work evenings/weekends for event delivery.
Applicants with lower qualifications and/or less experience may be considered for appointment as Assistant Manager (Marketing and Events).
What We Offer
The appointment will be made on fixed-term full-time contract for 2 years, to commence as soon as possible, with the possibility of renewal subject to funding availability and satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme totalling up to 10% of basic salary. Other benefits include annual leave and medical benefits.
