    Job Description:

    Assistant Manager (at the rank of Executive Officer) in the Faculty of Engineering (Ref.: 536864) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal)

    We are seeking an energetic and self-motivated individual to join the Taught Postgraduate Team.

    Qualifications and Qualities

    • A Bachelor's degree or equivalent qualification, with at least 4 years of relevant work experience, preferably in higher education administration.
    • An excellent command of written and spoken English and Chinese (including Mandarin); proficiency in Cantonese would be an advantage.
    • Strong organizational, analytical, interpersonal, and problem-solving skills, with the ability to manage multiple priorities and meet tight deadlines.
    • Demonstrated ability to work independently, exercise sound judgment, handle confidential matters with discretion, and collaborate effectively with diverse stakeholders.
    • Proficiency in Microsoft Office applications and information systems, coupled with a proactive, service-oriented, and detail-orientated approach to work.

    The Role

    The appointee will support the administration and development of the Faculty’s taught postgraduate (TPg) programmes and contribute to the effective delivery of academic, student, governance, and outreach initiatives. The appointee will work closely with academic leaders, departments, students, and central administrative units to ensure the smooth operation of TPg programmes and the delivery of high-quality services. He/She may be required to work outside normal office hours, on weekends, and occasionally undertake overseas travel.

    Key Responsibilities

    Programme Administration and Student Affairs

    • Support TPg programme administration, including admissions, course enrolment, examinations, graduation, student records, and academic advising.
    • Handle student-related matters, enquiries, complaints, and academic or administrative cases.
    • Support curriculum administration, programme development, and quality assurance.

    Governance and Committee Support

    • Provide secretarial support to committees and working groups.
    • Support the development and review of academic policy, regulations, programme proposals, and related documentation.
    • Prepare reports and statistics.

    Outreach and Marketing

    • Coordinate student recruitment, marketing, outreach, and engagement initiatives.
    • Liaise with academic departments, University offices, prospective students, and partner institutions.

    Operational Support

    • Supervise clerical and support staff.
    • Perform other duties as assigned.

    Shortlisted candidates will be invited to attend a written test and an interview.
