Administrative Assistant II

Job Description:

Administrative Assistant II in the Centre of Development and Resources for Students (Ref.: 536790) (to commence as soon as possible, on a two-year fixed-term basis with a contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal)

Applicants should possess a Bachelor's degree with 5 years' relevant post qualification experience.

They should have:

relevant experience in student affairs, student housing, residential life, accommodation management, higher education administration, or a related field;

excellent command of written and spoken English and Chinese (including Cantonese and Putonghua);

strong interpersonal, communication, and organisational skills;

the ability to work independently and exercise sound judgement in handling complex cases;

strong analytical ability and confidence in using data to support decision-making;

a strong sense of responsibility, integrity, and a genuine commitment to student welfare and development.

The appointee will:

lead and oversee student housing operations, including the implementation and administration of University housing policies, procedures, and guidelines;

manage student housing allocation, including the design and execution of allocation frameworks, criteria, timelines, and communications, ensuring fairness, transparency, and consistency;

monitor housing demand and utilisation, analyse data, and support planning, policy review, and continuous improvement of housing services;

handle allocation-related appeals and special cases, and oversee contingency arrangements and housing-related student support;

manage partnerships with off-campus accommodation providers, ensuring effective coordination, service quality, and alignment with University requirements;

coordinate housing-related student support services, and work with internal and external stakeholders to address student welfare and residential issues;

lead initiatives to enhance residential life, including the development and review of programmes that promote student engagement, community building, and a positive residential culture;

support student leadership in residential settings, including advising student leaders, committees, and relevant student groups;

serve as a key user of housing systems and data, working with the system owner to support operations, reporting, user requirements, testing, and process improvements;

collaborate with faculties, halls, and administrative units on housing, residential life, and student-related matters;

contribute to policy, process, and service enhancements relating to housing and residential life;

perform any other duties as assigned by the Director or her/his delegate.

The Dean of Student Affairs holds the authority to deploy the appointee to various clusters of student residences based on operational needs during the appointment period.
