Job Description:
Administrative Assistant II/ Executive Officer in the School of Chinese (Ref.: 536702) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totaling up to 10% of basic salary, with the possibility of renewal subject to funding availability and satisfactory performance)
Established in 1927, the School of Chinese at HKU is one of the University’s earliest academic units and holds a prestigious reputation in Chinese Studies. Learn more at https://web.chinese.hku.hk. We are establishing a new centre for advanced study of Visual Culture, our first interdisciplinary centre dedicated to advancing research, academic exchange and educational initiatives in visual culture. We are now seeking a highly motivated and capable administrator to join the Centre at its start-up stage.
Applicants for Administrative Assistant II/ Executive Officer should:
- Hold a recognized Master’s degree with 5 years’ relevant administrative/research experience in tertiary institutions, preferably in the field of visual culture or related disciplines.
- Have excellent command of written and spoken English and Chinese.
- Demonstrate strong organizational, interpersonal, and communication skills, along with sound judgment, problem-solving abilities, and meticulous attention to detail.
- Be self-motivated, able to work independently with minimal supervision, and exhibit a strong sense of responsibility and a positive, collaborative mindset.
- Demonstrated competency to multitask, prioritize effectively, and meet tight deadlines while maintaining high-quality work.
- Be proficient in computer applications, including MS Office, Excel, and Chinese word processing.
- Provide secretarial support for committees and meetings.
Those with lower qualifications and/or less experience may be considered for the post of Executive Officer.
The successful candidate will assist in developing and implementing strategies to enhance the Centre’s visibility, manage and strengthen its publicity and marketing channels, coordinate events and academic activities (lectures, workshops, visiting professorship etc.), and support the planning of new postgraduate education programmes. The appointee will also help foster links with academic, research and higher education networks in the Chinese Mainland, the wider region and internationally, and provide administrative support for the Centre’s daily operation and strategic initiatives. Working outside office hours and on weekends may be required occasionally.
Shortlisted candidates will be invited to complete a written test and attend an interview.
