    Job Description:

    Senior Executive Assistant/Executive Assistant (at the rank of Clerk I/II) (two posts) in the Centre for PanorOmic Sciences (CPOS) (Ref.: 536457) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to satisfactory performance).

    Centre for PanorOmic Sciences (CPOS) is an academic research-support centre embracing multi-omics and big data biomedical research under LKS Faculty of Medicine.     The Role

    • Assist with daily office operations, including procurement, payments, reimbursements, and invoicing
    • Manage accounts payable, ensuring proper documentation and compliance with approval workflows
    • Manage and maintain inventory records, ensuring proper control procedures are followed
    • Manage and maintain databases, ensuring accuracy and consistency
    • Serve as a key liaison, addressing service, procurement, inventory, and facility enquiries from internal and external parties
    • Maintain internal staffing records, supporting work scheduling and performance monitoring
    • Coordinate maintenance activities, ensuring the proper upkeep of facilities and equipment
    • Provide excellent customer service and support through effective written and verbal communication
    • Supervise clerical assistants and assign tasks
    • Support events, activities and social media administration
    • Perform various clerical and administrative tasks, such as filing, data entry, and correspondence management, and related support for grant and publication documentation
    • Carry out other duties as assigned

    Qualifications and Qualities

    • Bachelor’s Degree or Advanced Diploma
    • At least 4 years’ experience in administrative work within tertiary institutions
    • Hands-on experience with ERP systems, including inventory management, procurement, and facilities maintenance, within local academic institutions
    • Proficiency in IT applications, including MS Office; experience with graphic design, image editing, and video production software is a plus
    • Good command of spoken and written Chinese and English
    • Good organizational and interpersonal skills
    • Strong sense of responsibility, fast learner, highly motivated and attentive to details
    • Able to work independently and be a good team player

    Applicants with less experience will be considered for appointment as Executive Assistant. Shortlisted candidates will be invited to attend an interview.
