    We are looking for a compassionate, organised, and customer-focused Clinical Administrator to join our busy and supportive University Health and Counselling Service (UHCS) team.

    This is a varied and rewarding role where you will play a key part in supporting the smooth day-to-day operation of a fast-paced healthcare environment. As one of the first points of contact for students accessing the service, you will help create a calm, welcoming, and professional experience for everyone who walks through our doors.

    You will provide exceptional reception and administrative support while managing appointments, responding to enquiries, and supporting clinicians and counselling teams with essential operational processes.

    This role is ideal for someone who thrives in a people-focused environment, enjoys working as part of a collaborative team, and can confidently manage sensitive information with professionalism and care.

    Comprehensive training will be provided in medical systems, privacy legislation, and healthcare processes.

     

    Key responsibilities include:

    • Providing warm, professional, and efficient frontline customer service to students and visitors
    • Managing reception duties, appointments, bookings, cancellations, and patient enquiries
    • Supporting students accessing medical and counselling services, including triaging urgent matters appropriately
    • Handling sensitive clinical and personal information with a high level of confidentiality and professionalism
    • Coordinating appointment scheduling to support fair and efficient access to services
    • Managing phone calls, inboxes, and communications between patients and clinical teams
    • Supporting clinicians and counsellors with administrative tasks, documentation, and service coordination
    • Processing payments, receipting, enrolments, and maintaining accurate student and patient records
    • Supporting operational processes including scanning, records management, and document handling
    • Contributing to a positive, collaborative, and student-centred team environment

    This role also involves participating in ongoing training, including emergency response and clinical support training, within a healthcare setting.

    This is a permanent, full-time (37.5 hours per week).

    The salary range is $55,634 - $62,900 per annum, depending on experience and qualifications.

    • Experience working in a fast-paced, front-facing customer service environment
    • Strong interpersonal and communication skills, with the ability to engage sensitively with a diverse range of people
    • Excellent organisational skills and attention to detail
    • Confidence using Microsoft Office applications including Word, Excel, and Outlook
    • Ability to manage confidential information with professionalism and discretion
    • A calm and solutions-focused approach to handling challenging situations

    The following would be highly beneficial:

    • Experience working within a primary healthcare or clinical environment
    • Experience supporting young people or working within culturally diverse environments
    • Knowledge of patient management systems
    • Customer service or medical reception training
    • Current First Aid Certificate
