Personal Assistant to the Dean of Business and Economics (at the rank of Administrative Assistant I/II) in the Faculty of Business and Economics (Ref.: 530540), to commence as soon as possible, on a two-year fixed-term basis, with the possibility of renewal subject to funding availability and satisfactory performance.
The Faculty of Business and Economics at the University of Hong Kong is dedicated to excellence in education, research, and community engagement. We are seeking a dynamic and organized Personal Assistant to support the Dean in achieving the Faculty’s goals.
Role Overview:
As the Personal Assistant to the Dean of Business and Economics, you will play a crucial role in facilitating the daily operations of the Dean’s office. Your proactive approach and exceptional organizational skills will help manage multiple priorities in a fast-paced environment. You will serve as the primary point of contact for internal and external stakeholders, ensuring smooth communication and coordination.
Key Responsibilities:
- Provide high-level administrative support to the Dean, including calendar management, travel arrangements, scheduling meetings, and coordinating visits and events;
- Draft and prepare correspondence, reports, and presentations;
- Assist in the planning and execution of events and initiatives that align with the Faculty’s mission, core values and goals;
- Maintain organized filing systems and ensure the confidentiality of sensitive information;
- Conduct research and compile data to support decision-making processes;
- Liaise with faculty, staff, students, and external partners to facilitate communication and collaboration;
- Work on special projects and perform any other duties as assigned by the Dean; and
- Be prepared to work outside of office hours and on weekends as needed.
Requirements:
- Bachelor’s degree or equivalent experience in business administration or a related field, preferably a Master’s degree;
- At least 10 years of work and supervisory experience as a personal assistant or in a similar administrative role;
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively;
- Strong communication skills, both written and verbal, in English and Chinese (including Putonghua);
- Ability to work proficiently with significant independence;
- Proficient in Microsoft Office Suite and other relevant software;
- Demonstrated discretion and professionalism in handling confidential information; and
- Candidates with lower qualifications and/or less experience may be considered for appointment as AAII.
Shortlisted candidates will be invited to attend a written test and an interview.
Compensation and Benefits:
A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. The appointments will attract a contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 15% of basic salary for AAI and 10% of basic salary for AAII.
