Senior Executive Assistant/Executive Assistant (at the rank of Clerk I/Clerk II) in the School of Computing and Data Science (Ref.: 530501)
We are looking for a Senior Executive Assistant/ an Executive Assistant to join the School of Computing and Data Science.
The Role
The appointee will be entrusted with a pivotal supporting role in managing and overseeing the equipment and procurement procedures and contribute to the School’s finance accountability and framework. The appointee will be responsible for processing purchase requests and orders efficiently, maintaining clear communication channels among various departments and suppliers, and meticulously monitoring payment processing and order tracking. The post holder will play a vital role in negotiating contracts with suppliers and vendors to ensure University policy are upheld. In addition, they will be tasked with managing stakeholder and space user’s expectations and be able to resolve conflicts in a proactive and diplomatic manner to ensure smooth operations and effective space utilization across the School’s space management.
Qualifications and Qualities
- A Bachelor’s or recognized degree or diploma and a minimum of 15 years of experience in tertiary institutions, with a focus on finance, facility management and student affairs;
- A good command of spoken and written English and Chinese (including Putonghua);
- Strong communication and problem-solving abilities;
- IT proficiency, with the ability to multitask;
- A willingness to learn quickly, collaborate effectively within a team.
What We Offer
The appointment will be made on fixed-term full-time contract for 2 years, to commence as soon as possible with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of basic salary. Other benefits include annual leave and medical benefits. Those with less experience will be appointment as Executive Assistant (Clerk II).
